    The URL I was given to my website says xxxx.nabrokers.com What is nabrokers.com? did you move my website? Do I need to market xxxx.nabrokers.com?

    The nabrokers.com and/or agentsna.com is a temporary domain name we use to demonstrate your website to you during the build process. It is not a permanent name. YOU SHOULD NOT USE THIS LINK FOR ANYTHING BUT TESTING PURPOSES.

    You will typically only use this name until your domain name servers are changed with your registrar to point your website at NetAspects.

    Question: Someone is using my website to send spam
    I received the following e-mail. The client wrote to let me know that an email address on my website is is advertising products and sending spam.

    Is there anything we can do about that? I don't want my website used for sending spam!

    Most likely it is being sent from a spoofed email address. You can check and see if the Email address exists and someone really IS using it, but most likely it is Spoofing.

    Email Address spoofing is very common by spammers. They take a real domain name and make up a fake email and send out spam. They will send out hundreds of thousands of email from that address.

    It tricks some mail servers into accepting the email because they they check, the website really exists, so they (mistakenly) assume the email address is valid.

    There is absolutely nothing you can reasonably do about this phenomenom. It is simply a part of the internet. Who an email is from is VERY easy to falsify, so spammers do it to mask their identity and increase their chances of delivery.

    Think of it like postal mail. Someone could send out a bunch of advertisements and write your home address as the sender, and there is nothing you could do to stop them. You couldn't even figure out who did it, the postal service doesn't track it that way.

    Spoof email address work the same way.

    Question: How do I get the headers from my email in Outlook

    My system administrator told me he needs to look at the internet headers on my email.  I use Outlook, how can I see them?



    Solution:



     


     


    In Outlook, open the message in its own window, not in a preview window (double click on it so it is its own window).


    Go to View and Options


    A new window will open and the last box on the bottom says Internet Headers and is filled with text like:

    Select all of it and use the copy command (ctrl c)


    Close that window and go back to Outlook.  Start a new message and paste the bodies into the header.  Send that message to whoever is looking for them.

    Question: What should I do to submit my website to Search Engines?
    When I search on an internet search engine like Google.com or Yahoo.com, my website does not come up. What should I do?

    First, make sure you are included in the search engines. If you have not manually submitted your website to the search engines, you should do so at the links below. Some of these links may require registration and/or a fee, read through the disclaimers at each link as you complete the submission process.

    Submitting your site does not guarantee you will turn up on the sites, every site ranks you based on different criteria. If you're interested in guarantying you will return in the result of a given search, you may want to consider paid advertising with the search engine of your choice. You can review options regarding paid search during the registration processes at the links below.

    How listings in SalesAspects works.

    Base Requirements
    In order to effectively use Listings in SalesAspects, your account must have the following:
    1) MLS Office id on the office profile. If you do not know your office id, contact NetAspects and we'll look it up for you.
    2) MLS Personal ID on your agent profile. If you do not know what your ID is, you can use the ID lookup tool to find your ID based on an existing MLS listing. In most areas you can only lookup your id if you have an active listing, so if your listing does not appear on the website in a search, you won't be able to look it up in SalesAspects.
    3) A User account in SalesAspects. You can only create or interact with listings in SalesAspects for users who have accounts. If you do not have a user account in SalesAspects, you cannot use Listings.

    Listings in SalesAspects performs two functions.
    1) It feeds the Transaction Management system in SalesAspects
    2) It feeds listings onto your website in the form of "company listings" or "my listings"

    You create listings in SalesAspects in two ways
    1) Manually enter your listing information.
    2) Import listing information from the MLS.

    Managing Listings in SalesAspects

    SalesAspects Listings management allows you to create and manage listings apart from the MLS. You can add listings before we get them in your IDX feed as well as add information we do not get in the IDX and maintain them more promptly than the IDX feed.

    Once you create a listing in SalesAspects, you must make all updates to the listing in SalesAspects. SalesAspects will not automatically update from the IDX, because SalesAspects does not recognize what changes you have made and what information you intend to appear different from the IDX.

    When a listing closes, you'll create a transaction for it which will remove it from active listings and the property search. If you are not using the Transaction system in SalesAspects, you'll need to set the property to "off market" when it is no longer available for sale.

    How listing data appears on my website
    There are two types of listing data which appear on your website. The IDX data from your MLS(es) and the Listing data from SalesAspects.

    In property searches, both Listing data from SalesAspects AND IDX data appear. Generally when there are duplicates only the Listing from SalesAspects will appear, though if you do not correctly add the MLS ID to the listing you may show multiple instances.

    On Company Listings or My Listings, only information from SalesAspects Listings will appear.

    In Summary
    IDX Data from the MLS is used on the websites in Property Searches, and can be used in SalesAspects to initially create a Listing. IDX Data is not used to automatically update Listings in SalesAspects.

    Listing Data in SalesAspects is used inside SalesAspects for Transactions and appears on public websites on My Listings or Company Listings, as well as in Property Searches.

    Proper function of Listings and IDX data requires correctly configured MLS IDs on Agent and Office accounts.

    Question: My email was returned to me as Spam, but I know the address is good, why?
    I sent an email to an email address and it was rejected as being spam. I know the email address is good, I sent it a test message (or sent to it yesterday, or was replying to an email). I don't understand what is wrong.

    In 2007, 95% of email sent on the internet was spam. Stop and think about that. 95%. (see http://blogs.cnet.com/8301-13505_1-9831556-16.html)

    This has caused a huge and growing backlash by email users. People frequently refuse to tolerate even 1 spam email, when they get 100 valid email. What would you do if you had to filter through 2000 email to get 100 good ones? You'd explode.

    And this has caused email hosts (comcast, yahoo, google, aol, hotmail) and the like to take extreme measures to block email, to the extent that the will often willingly block good and valid email to prevent a backlash from consumers.

    Why? Because you complain about and notice the spam you see. You don't normally complain about things you do not.

    How does this impact you? Every time you send an email, even to a valid email address, you have a high percentage chance it will not be delivered. There isn't even a way to guarantee it will be.

    What are some things you can do to increase the chances of your email being delivered?



    • Suggest to the new contacts you meet that they add you to their address book or whitelist. Every provider has a slightly different procedure for doing that. If you are not sure how to help a contact with that, try a web search for "xxxxx whitelist" where xxxx is the service provider they use.

    • When you really need something to be delivered, avoid using HTML. HTML is a trademark of marketing email and many recepients treat it as spam immediatley.
    • Avoid using a lot of images in your emai.
    • Be careful about using sexually explicit languages or references to common drugs. You may do so innocently in a comparison or when discussing day to day events, but the spam filter may trip.
    • Avoid misspellings or using "text speak". Spam filters look for groups or percentages of misspelled words. This is a common tactic to increase word count in spam and filters are senstitive to this.
    • Avoid getting your own email address or domain name blacklisted by avoiding spamming activitives. Do not buy mailing lists of unknowns to send to, instead focus on marketing through organic efforts (lead generation, open houses and the like). NEVER SEND UNSOLICITED EMAIL TO ANYONE. Sending automated response email to people who have requested it, or product annoucements to former or prospective clients occasionally is important, but do not abuse that right.

    In spite of all of these efforts, an increasing percentage of email is going to be blocked or trapped by spam filters, and there is little which can be done about it. For further reading, you may be interested in this article about Emal and Spam and how Spam has ruined email

    What is NetAspects doing about this:
    NetAspects:


    • Actively monitors user activity and prevents spam like activity.
    • Tunes eFarming on an ongoing basis to balance the needs of eFarming and Marketing with Spam Prevention
    • Monitors and removes incorrect spam blocks from 3rd party providers
    • Reviews and monitors industry activities to proactively prevent blocking and implement ways to avoid blocking
    Unfortunatley, due to market conditions, in spite of these efforts, some messages may never be delivered, and some senders may have intermittent receipt of email.

    Question: I just recieved a new lead, what do I do?
    I just received a new lead, what do I do?  How should I react to this?


    Solution: A new lead is very exciting. Business which you haven't had to cold call or "work the phones" to develop is always a time to rejoice. However, dealing with an electronic lead requires some patience and special skills.

    First of all, you're probably reacting because you received a lead alert like the one below to your email or mobile device.




    Login to SalesAspects. If you have the Contacts panel on your desktop, you can see right there that you have an unaccepted contact. If you don't, go ahead and click on Contacts, then click on the Views menu and you'll see your unaccepted contacts there.



    Go ahead and click on that to view your unaccepted contacts in SalesAspects Contact Manager. You're going to want to go ahead and accept this contact using the accept button to gain access to all of the details. Those details will let you know what the contact is looking for so you can give them a call and effectively address their question.




    On the general screen you get as much information as the contact has volunteered. Sometimes you'll get a phone number, usually you'll get an email. You may also get a zip code or other information depending on what form on the website the contact filled out.

    Now that you have all the tabs, go ahead and click on the leads tab, then choose the lead to view. Sometimes there are more than one lead. Click to view the details of the lead and see what the person asked.






    Now that you know what the contact wants, you can give them a call and talk to them about their needs. Fill in the contact record general with any additional information you learn - spouse's names, phone numbers, work places, etc.

    A good thing to do is to use the Notes feature in SalesAspects to record your conversation. Notes will let you keep track of information there isn't a spot for in SalesAspects. It also lets you communicate information to other members of your team - whether you are working in your own team or as part of a company team. You can even view the notes of others on your team.



    Now that you've talked to the customer and made a note, there's a good follow up you should do which is to start the contact on an eFarming drip email marketing campaign. In order to do this, you need to have a few eFarming campaigns setup on your account. See the related issues below to setup eFarming on your account so you're ready.

    From the General tab, scroll down in the bottom window to the eFarming section and add a drip email campaign. That you add them to ANY campaign is more important than the information you send. Of course you do not want to disrespect them by sending them something off topic, but if the topic is close, go ahead and send it. eFarming sends your brand and image to the contact on a recurring basis. Its a way to keep them aware of you, so even if they're not ready to go today, they'll remember you when they are!



    A final tool you have to use is the Audit trail. The audit trail shows you everything that has happened with this contact in the past. This is more of a tool you may find useful once the contact has been worked for several weeks or months and other leads and events have occurred with the contact.




    Here are a couple of notes specific to Real Estate and Property Searches.


    A lot of the Leads you'll receive will be Registrations. A Registration is creating a user account on the website. The customer hasn't necessarily asked for any information, but they are a prospect who should be followed up on because they expressed an interest on your website.

    In the Leads tab, you'll see the Lead is a Website Registration.



    Since this is a registration, you can gain further insight into the contact's interest using the property search tab. Click on the Property Search tab and you'll have a row of links at the top of the screen. You can click on them to see the information the customer has entered. You will often not have Saved Searches or Saved properties, but you will normally have viewed searches and viewed properties.



    Finally, a 2nd way, in addition to eFarming which you can use for Real Estate buyers is to setup a saved search and New Listing Email Notification. When you use SalesAspects to send out Email Notifications, they are branded like your eFarming messages - which makes them a great way to keep you and your brand in front of the prospects, particularly when their purchase timeframe is farther away.

    Simply create a saved search and mark it to send email on a recurring basis to the prospect.
